Thank you for choosing Cottontail Studio LLC. Because we operate on a dedicated production schedule, locking in your session means we close that time block to all other clients. To protect our calendar, creative time, and cash flow, the following terms apply to all bookings.

1. Booking & Retainer Policy

  • Non-Refundable Retainer: A 50% retainer (or designated flat deposit) is required to officially secure your shoot date and time. No dates are held without a cleared deposit.
  • The Deposit Value: This fee covers pre-production, creative alignment, and reserves our exclusive time on set. Therefore, all initial booking deposits and retainers are strictly non-refundable.
  • Final Balance: The remaining 50% session balance plus any custom image asset packs chosen post-shoot are invoiced immediately following the session and must be paid prior to the delivery of unwatermarked, high-resolution master files.

2. Cancellation & Rescheduling Policy

We understand that production variables, weather, or unexpected scheduling conflicts arise. We provide a flexible scheduling path under these strict timelines:

  • The 72-Hour Cut-Off Window: You must submit a request to reschedule your session at least 72 hours (3 days) prior to your scheduled start time. If valid notice is given, your deposit transfers completely to your new date.
  • Late Rescheduling Fee: Requests made with less than 72 hours’ notice are subject to a $150 re-booking fee to cover lost studio availability.
  • Forfeiture: If you choose to cancel your session entirely rather than reschedule, or if you request a change with less than 24 hours’ notice, your deposit is permanently forfeited.

3. Late Arrivals & No-Shows

  • Grace Period: We maintain a strict 15-minute grace period on set. Production time will not be extended past the original booked timeframe to accommodate late arrivals.
  • No-Shows: Arriving more than 30 minutes late without prior communication constitutes a No-Show. The session will be canceled, your deposit forfeited, and your card on file will be billed for the remaining balance of the creative fee.

4. Refund Policy for Post-Production Assets

  • Due to the highly customized nature of digital content creation, creative direction, and advanced post-production retouching, all digital asset sales are final.
  • Once final invoices are processed and unwatermarked, high-resolution master files are delivered to your secure client login, no refunds or partial credits will be issued under any circumstances.
